With FLEX’s hybrid style pricing model you only ever pay for the amount of services and support that you consume. Microsoft Office 365 (O365) is the subscription-based version of Microsoft Office which is hosted in Microsoft’s cloud. It comes with the standard office productivity tools that Office users will be familiar with including Word, Excel, Outlook, OneDrive and PowerPoint to name a few.

 

Most business who have Office 365 will be on the Business Premium edition. This provides them with Exchange online (emails hosted by Microsoft). There are two other applications included with Business Premium: Sharepoint and Teams.

 

Most firms who sign up to Office 365 will have their vendor complete their user creation, email migration, and installation of the Office software, leaving the client’s users to educate and fend for themselves in what is a very complicated product stack.

 

This creates unnecessary risk, as the default configuration allows users almost unrestricted access to create content and libraries across the O365 platform.

Most firms use Dictaphones and docking stations, sharing the dictations to their transcriptionists or transcription software only when they dock their device in the office. This solution “works” for most firms, but there are a few limitations to the way these environments work.

 

  • You need to have a physical Dictaphone, and associated hardware (Eg, a docking station)
  • You can only record dictations when you have the Dictaphone with you
  • You need to be in the office with your Dictaphone to sync the dictation to the server
  • You need an on-premise server to store and delegate dictations for transcription
  • Your typists must be in the same office, or have direct connection to the server
  • Requires client software to be installed and configured for transcriptionists
  • They can be an expensive and inflexible solution
  • Is generally inconvenient when compared with other technology solutions

 

To address the needs of modern law firms and legal practices our Digital Dictation solutions allow you to record dictations via mobile app, any Dictaphone, or directly to the software in the cloud. This eliminates the requirement for on-premise servers, and trips to the office purely to upload dictations. Our secure, subscription-based cloud dictation software also has built in workflow capability to assign and send dictations to typists or transcription software that are authenticated to the system from any location, at any time, giving complete flexibility and scalability to the solution.

 

The solution can be used either directly over the internet, or by syncing to software installed on typists or transcriptionists computers and can be integrated to use Nuance Dragon Professional for Legal to transcribe dictations.

Scanning documents into a client’s matter in your Practice Management System is a fundamental requirement for most law firms and legal practices. Historically, the process involved scanning from a multi-function photocopier or desktop scanning device, retrieving the scanned document and saving it to a folder location, opening your Practice Management or Document Management system and logging in, browsing to the correct matter, uploading the document to the matter, naming or classifying the document, and saving it. If the cost of this process needed to be disbursed, you would then have to manually create a disbursement entry in the matter as well. While this process “works”, it does have significant drawbacks.

 

Recent advances in technology have enabled the ability to scan documents directly to the correct matter and create a disbursement entry all from your photocopier. By the time you reach your desk, the document and disbursement entry will be attached to the matter. It couldn’t be simpler, or more efficient to complete the process.

The system works using the API (Application Programming Interface) of your Practice Management System to retrieve the open matters list to present to you on your photocopiers screen via the device embedded software. Once selected, the photocopier will scan your document, clean up the image, make it text searchable, and attach it to the matter through the same API. We can also use this function to create the disbursement entry should it be required. Myrtec’s Scan to Matter Solution will work for any firm, of any size, using (almost) any Practice Management or Document Management System.
